Set up one shared list
Create a shared note, reminder list, or list in the grocery app you already use. Do not call it just shopping list. Give it a clear name such as Always runs out, so everyone knows this is only for recurring household basics.
Start with a short set of likely items: trash bags, hand soap, batteries, dishwasher tablets, laundry detergent, paper towels, razor blades, pet supplies, or basic medicine cabinet supplies. Remove anything you rarely use. The list works because it stays small.
Add a simple reserve rule
Next to each item, write the minimum amount that should trigger a refill: one spare pack, two batteries left, last tube opened, or one week of pet supplies remaining. When the household reaches that point, the item goes on the next shopping list.
This changes the timing. You stop noticing the problem only when the shelf is empty and start acting while there is still enough time.
Check it before shopping
Look at the list before the weekly shop or before placing an online order. Even better: the person who opens the last spare item updates the note immediately.
A shared Apple Note is one simple way to do this because several people can collaborate on the same note. The tool matters less than the habit: collect repeat shortages before they become small household annoyances.
Keep it intentionally small
Do not turn this into a stockpiling system. Add only things your household genuinely uses again and again.
A useful test is simple: did this item run out unexpectedly in the last three months? If yes, keep it. If not, delete it and keep the list easy to trust.
