Soften the Draft
Before you send a sensitive email, paste only the non-confidential draft into an AI tool. Remove names, customer details, contracts, health information and anything internal. Then ask: "Does this sound clear, friendly and professional? Which part could be misunderstood?"
The point is not to let AI speak for you. Use it as a mirror. It can show how your message may land with someone who is tired, stressed or already sceptical. That is where many email problems start.
Ask for Three Versions
Ask for three concrete alternatives: shorter, warmer and more direct. The shorter version cuts defensive explaining. The warmer version removes accidental harshness. The direct version prevents polite wording from becoming vague.
Compare those versions with your original. Keep individual phrases only when they still sound like you. A useful work email can be respectful without becoming bland or overly polished.
Check Before Sending
Read the final email once slowly. Check three things: is the request or decision clear? Is the tone respectful? Is there a next step with a date, owner or expectation?
For legal, confidential or escalating messages, the responsibility stays with you. Treat AI as a tone and structure assistant, not as approval to send.
